Abstract

Cash management and payment processing are vital activities supporting the financial administration of the North Sumatra Student Association in Bengkalis (HIMSU). However, the current cash management process relies on manual methods specifically logbooks and Microsoft Excel—resulting in suboptimal performance regarding transaction recording, payment processing, report generation, and information dissemination to members. To address these issues, a web-based cash management and payment application was developed using PHP and MySQL, employing the Waterfall development methodology. The application features member data management, cash payments, payment verification, income and expense tracking, financial transparency, financial reporting, WhatsApp notifications (both manual and scheduled), and report printing capabilities. Implementation results demonstrate that the application facilitates a more structured, documented, and transparent cash management and payment process. Black Box testing confirmed that all features function according to user requirements, with no functional errors detected. The application supports the roles of the Treasurer, Chairperson, and members based on their respective access rights, thereby enhancing the effectiveness and efficiency of cash management. Furthermore, the application is accessible via various browsers on both computers and smartphones connected to the internet.
